Scope creep, revision wars, late payments, and personality conflicts. Here's how to navigate the difficult situations that will inevitably arise in ghostwriting.
Every ghostwriter encounters clients who push boundaries, demand endless revisions, or create friction that makes the work unpleasant. These situations don't just affect your mood—they affect your income and your reputation. Here's how to handle them professionally.
The Revision War
Every ghostwriting contract includes revision rounds. Typically two to three rounds of revisions are standard. But some clients treat revisions as unlimited editing sessions, sending back drafts with fundamental changes weeks after approval.
Prevention is the best strategy. Define revision scope explicitly in your contract:
- Number of revision rounds included
- What constitutes a "round" (one full pass or multiple smaller edits?)
- Additional revision rates
- Timeline for revisions (24-48 hours for minor edits, longer for structural changes)
When a client exceeds their revision allowance, respond with specifics: "Your previous feedback required two rounds of revisions. This new request involves restructuring the argument, which counts as a third round. I'd be happy to proceed at $X/hour."
Scope Creep
The LinkedIn post became an article. The article became a newsletter. The newsletter became a speech. This expansion happens gradually, often without conscious awareness on the client's part.
Track your time meticulously. When you notice expansion beyond the original scope, flag it immediately: "I'm happy to help with the investor letter—that's outside our current arrangement, but I can add it for $X. Should we discuss a scope expansion?"
Don't let scope creep accumulate for months before addressing it. Monthly check-ins with clients should include a scope review.
Late Payments
Net-30 payment terms exist, but some clients treat them as suggestions. A $5,000 invoice becomes $15,000 in delayed revenue when clients consistently pay 60-90 days late.
Require payment at the start of each month for that month's work. This creates a clean transactional relationship and eliminates accounts receivable complications. If a client won't prepay, require automatic payment through ACH or credit card.
For existing overdue balances, one clear email: "Your invoice from [date] for $[amount] is 45 days overdue. Please confirm payment date." No apology, no justification needed.
The Disappearing Client
Some clients go silent for weeks, then reappear expecting immediate turnaround on urgent requests. This pattern disrupts your schedule and devalues your time.
Establish communication norms at project start. Preferred response times, availability windows, and escalation procedures. Then enforce them: "I typically respond within 24 hours during business days. For urgent requests, please note [specific method]."
When they send urgent requests after silence, respond: "Happy to help with this. Given the timeline, I can accommodate by [date] at [rate]. Standard turnaround for new requests is 3-5 business days."
Difficult Personality Types
Some clients are micromanagers. Others are control freaks who want every word approved. Some treat you as a vendor, others as a partner. Adapting to personality styles is part of professional ghostwriting.
Micromanagers need process. Regular check-ins, milestone approvals, structured feedback formats. Give them enough visibility that they don't feel the need to hover.
Control-oriented clients need voice documentation. Reference your voice capture notes: "This phrase appears 14 times in your previous writing, so I've incorporated it. Would you like to see alternatives?"
When to Walk Away
Some situations can't be salvaged. Persistent payment issues, fundamental disagreements about creative direction, or clients who treat you unprofessionally are legitimate reasons to end engagements.
A clear exit email: "After [time period], I believe we've reached a natural conclusion to our work together. I'll complete [specific deliverables] and transfer [assets] by [date]."
You don't need to explain further. You don't need to convince them. A clean exit preserves your reputation and opens capacity for better-fit clients.
